Executive Administrator

(Full-time/Permanent, Non-Exempt)

 

The Executive Administrator is responsible for day to day management of the reception area, associated supply and facility tasks and HR day to day tasks.  Additionally, the administrator focuses on executive support functions, maximizing the effectiveness of senior leadership.  The administrator meets regularly with the executive team members to facilitate day-to-day scheduling and prioritization of needs, transcending both their individual and company based tasks. Executive Assistant Role
Understand executives’ working style, preferences, and needs; proactively assuming responsibilities as necessary to optimize executives’ efficiency. Conserves executives’ time by reviewing and routing correspondence, drafting documents, collecting and analyzing information and initiating telecommunications.  Maintains executives’ appointment schedule by planning and scheduling meetings, conferences, teleconferences, and coordinates travel.  Completes expense reports for executives. Must make sound choices in ambiguous situations, solving issues successfully and effectively.

Office Administration Role

Reception and company phone coverage Maintain office supplies and facilities 
Postage/Mail Scanning and filing
Complete client information documents Client Compliance Assistance
Coordinate Contractor Agreements   Contact for facility related issues
Company meeting/event coordination  Wellness program assistance/coordination
Liaise with janitorial/shredding/refuse service Travel Program Management

 

Human Resources Role

Recruitment and New Hire Admin           Benefits and HR Admin
Job Postings Maintaining complete employee records
Coordination for candidate/new hire  Coordinating employee enrollment in company benefit programs
Coordinating Interviewing schedule and/or travel   Vacation program reporting    
New hire benefit packages/schedule coordination Mentor program record updates and communication
  Maintain company organization charts
  Communication of ERISA compliance documents
  Annual Performance Review coordination
